Payments & Credit Notes

Record payments and issue credit notes directly from invoice detail pages.

Recording a payment

  1. Open the invoice detail
  2. Click Record Payment
  3. Enter: Amount (cannot exceed balance due), Method (transfer, check, cash, mobile money), Date, and optional Note
  4. Click Save

If the payment covers the full balance, status changes to Paid. Partial payments change status to Partial. A receipt is generated automatically (e.g., REC-2026-0001).

Credit notes

Click Credit Note on any invoice. Enter the Amount and Reason (required). The credit reduces the balance due. Auto-numbered as CN-2026-0001.

Who can do this

Only Partner and Admin HR roles can record payments and create credit notes. Payments cannot be recorded on draft, paid, or cancelled invoices.
